Operations Assistant

$22.00 To $28.00 Hourly

Overview

The Operations Assistant supports a variety of administrative functions in operational areas across Heller Consulting, ensuring accuracy and efficiency in many aspects of the business.

Key Responsibilities

Finance Support

  • Accounts Payable
    • Reconcile employee expense reports and create reimbursement payment records
    • Maintain accurate travel expense policies and address expense reporting discrepancies
    • Enter bills and create bill payments
    • Maintain & organize vendor contracts & supporting documentation
  • Accounts Receivable
    • Work with delivery and accounting teams on invoicing completion and QA
    • Facilitate providing clients with vendor setup information and instructions
    • Maintain client accounts in internal systems
    • Receive payments, follow up on A/R collections

Operations Support

  • Function as the point person for team equipment, accessories and supplies procurement.
  • Manage travel planning, coordinate all travel bookings, and resolve travel-related issues.
  • Assist with internal firm logistics, event coordination, and support the sales and marketing team with administrative and conference-related tasks.
  • Manage telecom (landlines, cell phones, internet connectivity).
  • Manage Microsoft365 team accounts – set up/close out email user accounts, maintain group membership, track and update licensing.

People Operations Support

  • Assist onboarding new employees by preparing materials and coordinating orientation sessions.
  • Complete HR-related tasks, such as maintaining personnel records and completing related data entry tasks.
  • Support internal training programs and employee engagement initiatives.

 

Administrative & Office Management

  • Maintain organized records, databases, and reports for operational tracking.
  • Handle correspondence, scheduling, and document management.
  • Oversee internal compliance with workplace procedures.
  • Coordinate internal and external communication to ensure smooth business operations.

Qualifications & Skills

  • Prior experience in a remote administrative or operations support role.
  • Proficiency in Microsoft Office applications including, but not limited to: Teams, SharePoint, PowerPoint, Word, Excel, Forms, and Lists.
  • Proven ability to learn additional operational software solutions to support financial and human resource administration.
  • Excellent organizational skills with a proven record of completing work accurately and on time.
  • Strong verbal and written communication skills with both internal and external stakeholders.
  • Proven ability to work efficiently and proactively to complete routine tasks ahead of schedule.
  • Critical thinking skills to help problem-solve and troubleshoot when needed.
  • Willingness to support other team members with additional tasks when requested.
