To sustain this work year after year, the organization relies on broad donor support and long‑running fundraising efforts that must be managed consistently and accurately across a complex, distributed operation.

Challenge: Fragmented donor data and limited visibility

Toys for Tots managed donor and donation data from multiple sources, including a significant volume from direct mail fundraising alongside gifts processed internally by staff. These data streams followed different workflows and update cycles, making it difficult to maintain a clear, unified view of donor activity. When issues arose, teams lacked visibility into where data breakdowns were occurring and why, increasing uncertainty around campaign readiness and data accuracy.

Solution: Donor Data Hub as a centralized system of record

The Heller Data Services team implemented Heller’s Donor Data Hub for Toys for Tots, establishing a centralized system of record for donor and donation data. The Hub ingested update files from the organization’s direct mail vendor and incorporated gifts processed internally by staff into a single, authoritative database. Acting as the data foundation behind fundraising campaigns, the platform harmonized data across sources, resolved duplicate records, and ensured donor information was consistently updated and maintained over time.

By centralizing data preparation and stewardship in one environment, the Hub made data flows easier to understand and manage. This provided teams with clearer insight into where issues originated and why, replacing fragmented troubleshooting with a more reliable and controlled approach to campaign data readiness.
